If so, we invite you to join our team as an Onboarding Specialist, a role that is essential to shaping the experience of every new hire and ensuring they feel connected to our mission from day one.

This position is more than just paperwork and scheduling, it’s about building relationships, fostering trust, and creating a smooth, positive journey for new employees. You’ll be the first point of contact for incoming team members, serving as a knowledgeable guide and a reassuring presence as they navigate the onboarding process. If you thrive in a fast-paced environment, enjoy working collaboratively, and take pride in delivering exceptional service, this is the opportunity for you.

This role is dynamic and requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while maintaining professionalism and a positive attitude.

Core Responsibilities

As an Onboarding Specialist, you will play a critical role in ensuring every new hire feels valued and prepared for success. Your responsibilities will include:

  • Delivering an exceptional new hire experience, starting with the very first phone call and continuing through their integration into the organization.
  • Managing the entire onboarding process, including initiating correspondence, guiding new hires through required steps, and ensuring timely and accurate completion of all documentation.
  • Coordinating logistics such as scheduling appointments, verifying credentials, arranging fingerprinting, and maintaining compliance with all regulatory requirements.
  • Serving as a trusted resource for new employees, answering questions, providing guidance, and helping them feel connected to our culture and values.
  • Collaborating closely with the training team to ensure smooth transitions into orientation and development programs.
  • Maintaining accurate records in our HRIS system, creating digital employee files, and ensuring all documentation meets compliance standards.
  • Supporting recruitment efforts and providing administrative assistance to the HR team as needed.
  • Upholding compliance with federal and state laws, including I-9 verification, HIPAA regulations, and mandatory reporting requirements.

Qualifications

  • Associate’s degree in a related field required.
  • At least 1 year in customer service or administrative roles.
  • Strong attention to detail and organizational skills.
  • Excellent communication skills (both verbal and written) with the ability to build rapport quickly.
  • Proficiency in Microsoft Office Suite and HR systems.
  • Ability to manage multiple priorities with professionalism and a positive, can-do attitude.
  • Valid New York State driver’s license and willingness to travel as needed.

Benefits

We believe that our employees are our greatest asset, and we are committed to creating an environment where you can thrive both personally and professionally. Our workplace offers opportunities to grow, learn, and make a meaningful impact in a fast-paced, collaborative atmosphere.

We also offer a competitive salary and comprehensive benefits package, including:

  • Comprehensive Health/Dental/Vision Coverage
  • Low-cost individual health insurance plan
  • Dollar-for-dollar retirement match (up to 7%)
  • Retirement Plan 403(b)
  • Life Insurance & Voluntary Benefits
  • Flexible Spending Account (FSA)
  • Employee Assistance Program (EAP)
  • Generous PTO Plans (Sick, Vacation, Employee Leave)
  • Tuition Reimbursement
  • Service Awards & Employee Appreciation Events
  • Employee Discounts
  • Direct Deposit

When you join our team, you’re not just starting a job, you’re becoming part of a mission-driven organization that values integrity, collaboration, and excellence. You’ll have the chance to make a real difference by ensuring every new hire feels welcomed, supported, and ready to succeed.
