Job Description

Position Overview

We are seeking a highly-experienced and professional Dental Office Receptionist to join our dynamic dental practice. The ideal candidate will be the first point of contact for our patients, providing exceptional customer service while managing critical administrative responsibilities that keep our business running efficiently.

Key Responsibilities

  • Greet patients in a warm, welcoming manner both in-person and via telephone
  • Uphold a high level of professionalism in appearance and presentation
  • Support the dental team by preparing care plans and assisting with patient intake processes
  • Answer and manage incoming phone calls, providing clear and helpful information about services, appointments, and practice policies
  • Schedule and confirm appointments for new and existing patients
  • Manage patient check-in and check-out processes efficiently and accurately
  • Proactively find patients due for recall or other appointments and initiate scheduling
  • Process and verify patient insurance information, including:
  • Collecting and organizing insurance cards
  • Verifying patient coverage and benefits
  • Submitting insurance claims electronically and physically
  • Following up on outstanding claims
  • Completing claim attachments daily with required information, such as x-rays and tooth number(s)
  • Review documentation for accuracy and completeness before submitting
  • Facilitating clarifying conversations with insurance companies
  • Maintain accurate and up-to-date patient records in our practice management software and in compliance with HIPAA regulations
  • Calculate accurate patient copays with ability to make adjustments in the moment as needed
  • Handle medical billing and coding, patients’ billing inquiries, and processing payments
  • Manage incoming and outgoing correspondence, including emails and postal mail
  • Coordinate treatment plan follow-ups and patient communication
  • Deliver end-of-day report to Doctor
  • Assist with basic office maintenance and organization
  • Maintain a clean and welcoming reception area
  • Communicate important messages and needs to the team as they arise
  • Continue to develop office use of systems to take advantage of beneficial features

Qualifications

  • High school diploma or equivalent
  • 2-4 years of experience in a dental office
  • Familiarity with dental terminology, medical records management, and health information management
  • Knowledge of dental coding, documentation review, and insurance processes
  • Strong communication skills in English (bilingual skills a plus)
  • Professional etiquette in conversation and presentation

  • Ability to maintain patient confidentiality
  • Proficient in Microsoft Office and Google Suite and comfortable learning further softwares and systems, experience with Open Dental a plus
  • Excellent organizational and multitasking abilities

Physical Requirements

  • Ability to sit for extended periods
  • Comfortable working with computer systems
  • Capable of light lifting (up to 10 pounds)

Schedule and Compensation

  • Availability within the current office hours (Mon-Wed from 9am-7pm, Thu from 8am-2pm)
